01

Build a minimum archive

Keep the signed W-9 or approved substitute, request context, current contractor identity, and the records needed to support reporting. Exclude casual working notes and unrelated identity copies.

02

Assign an owner and access list

Record who may receive, correct and export each file. A vault does not decide who is authorized.

Verification checkpoint

Test the process with redacted sample material, record the operator and date, and confirm the expected person can recover the correct version.

03

Respect the control boundary

Does not replace provider permissions, guaranteed backup, password recovery or enterprise identity management. Encryption reduces exposure when configured and used correctly; it does not establish retention law, recipient authority or guaranteed recovery.
